Job Description

The position would perform all functions of office operations: schedules appointments, answers phones, maintains office supplies, computers and office equipment and otherwise relieves officials of clerical work and minor administrative and business details.

Responsibilities and Duties

  • Answer and direct incoming calls to appropriate personnel, preparing clear and accurate messages; greet scheduled visitors and guide to appropriate area or person
  • Coordinate appointments and assist in managing schedules and conference calls; arrange meetings, prepare agendas and other materials; reserve and prepare facilities, record and transcribe minutes of meetings
  • Assist in maintaining donor records and tracking outreach; organize, update and maintain file system
  • Assist with proposal submissions, donor campaign mailings, materials and contact lists; check documents, records, forms and reports for completeness, accuracy of content, proper endorsement and conformance to policy/procedures; correct minor discrepancies and errors independently
  • Compose correspondence, presentation materials and business letters, including labels and envelopes; proofread reports and written documentation for grammar, punctuation, and spelling errors
  • Prepare emails, faxes, e-blasts and other mass mailings and routine correspondence. Receive, open, date, process and distribute incoming correspondence to department staff; coordinate outgoing mailings, receive and process responses as needed
  • Obtain necessary signatures/approvals for outgoing communications and transmittal of accurate data and information, internally and externally
  • Process funds, record donor and size of contribution
  • Order and maintains supplies, and arranges for equipment maintenance
  • Perform special projects and assignments and support staff as directed by management


  • High school diploma
  • At least 3 years administrative assistant experience

Additional Skills

  • Telephone management skills; excellent telephone etiquette
  • Must have experience with complex scheduling and calendar management
  • Intermediate to advanced knowledge in Microsoft Suite, especially Excel
  • Strong organizational, interpersonal and listening skills
  • Ability to think and communicate clearly and in context
  • High level of professionalism and confidentiality
  • Ability to work under pressure and thrive in a fast paced, deadline-oriented environment
  • Ability to prioritize and manage multiple projects simultaneously and complete them in a timely manner
