Job Description:

The Events Manager is responsible for all logistical aspects of planning annual conferences, meetings and special events for SPIF and the Gates Millennium Scholars (GMS) Program; including identification of appropriate venues and vendors, all amenities and accommodations at the events as well as any associated contract negotiations. The Events Manager will collaborate with vendors on all aspects of executing conferences, meetings and special events: catering, decorations, lighting, security, special equipment rentals, entertainment, and staging. The incumbent will ensure the organization’s goals and metrics are considered when planning events. The Events Manager will engage in SPIF/GMS programmatic activities as directed.

Responsibilities and Duties:

  • Inform Gates Scholars about the VA and CA Leadership Conferences.
  • Recommend and invite featured speakers for the Leadership Conferences and the UNCF Empower Me Tour.
  • Manage $1.8M budget and prepare annual/quarterly reports.
  • Negotiate and process contracts with service providers and suppliers including hotels, convention centers and speakers.
  • Organize the registration of participants for various events, prepare programs and promotional material.
  • Hire, train and supervise support/production staff required for events.
  • Monitor event activities to ensure compliance with applicable regulations and laws, satisfaction of participants and resolution of any problems that arise.
  • Approve invoices, maintain financial records and prepare reports.
  • Coordinate pre and post event assessments, evaluations and debriefings.
  • Other duties as assigned by the supervisor.

    Requirements:

  • Bachelor’s degree from an accredited four-year college/university; Master’s preferred.
  • Five to seven years of progressive managerial level experience in event planning.
  • Experience with project management.
  • Experience with budget/fiscal management.
  • Standard computer proficiency.
  • Experience with RFP development and contract negotiation.
  • Certified Meeting Planner (CMP) designation desired.
